5 Things to Audit Before Renewing Your Commercial Maintenance Contract in NC
Most commercial maintenance contracts renew automatically — and most property managers don't look closely enough before signing. Here are 5 things to audit before you commit to another year with your current facility provider.
Contract Renewal Is Your Leverage Point
Renewal time is when you have the most leverage with your existing provider and the most options to explore alternatives. Use it. A 20-minute audit of the past year's performance often reveals gaps that would have been easy to address if caught earlier.
1. Documentation Completeness
Pull the last 12 months of work orders and ask: does every completed job have a photo record? Were completion notes delivered consistently? Is the documentation organized in a way that supports your asset management, insurance, or investor reporting?
If the answer is "sometimes" or "I'd have to dig for it," that's a documentation gap that costs you in the next insurance claim or capital planning conversation.
2. Emergency Response Consistency
Review any emergency events from the past 12 months. How quickly were they acknowledged? How quickly was a licensed professional on site? Were make-safe procedures followed? Was there a written summary after each event?
Emergency response is easy to promise and easy to verify in retrospect. The contract says "2 hours" — did the actual performance match?
3. Preventive Schedule Adherence
If you have a preventive maintenance program, pull the completion records. Were all scheduled visits completed? Were any items deferred without notification? Are there systems that were supposed to be inspected that weren't?
4. Scope Clarity
Review the contract's scope definition. Are there items you thought were covered that aren't? Are there gaps between what your property needs and what the contract provides?
Scope clarity matters most when a problem occurs. If there's ambiguity about whether something is covered, the dispute will happen at the worst possible time.
5. Pricing Transparency
Review the past year's invoices. Were there consistent surprise charges? Change orders that weren't communicated clearly? Unit pricing that varied without explanation?
Transparent, consistent pricing is a hallmark of a professional facility partner. If you spent time last year questioning invoices, that time has a cost.
